Booking Policy

Deposit

A deposit equal to 50% of the order total is due at time of booking to secure your reservation. Reservations without a deposit will be cancelled after three days. The remaining 50% payment is due 45 days prior to arrival. We accept all major credit cards.

Cancellations due to COVID-19

We understand that booking for a trip in the future can be uncertain. While our regular cancellation policy is in place, we have modified our reservation policy to provide more flexibility in the face of COVID-19. If you have any concerns about travelling, call us at 907-885-2845 or email us at reservations@borealisbasecamp.net and we can place your reservation ‘on hold’, and you will receive a credit to come back to Borealis Basecamp within one year after the original reservation.

Check in and Check Out Times

We start check in at 4pm, and check out is at 12pm. Guests are required to show a photo ID at time of Check in.

Cancellation Policy

We understand that sometimes life happens and you have to cancel reservation at Borealis Basecamp. As we are quite remote and almost all of our bookings come beforehand, we are unable to sell cancelled accommodation premises again in a short notice. That is why we have a strict cancellation policy.  

The cancellation policy is as follows: 

  • After the deposit payment, 30% of the total is non-refundable 
  • Cancellation 30-60 days before arrival, 50% of the total is non-refundable 
  • Cancellation 30 days before arrival, 100% of the total is non-refundable 

To cancel your reservation, contact us by:

Operating as an off grid lodge in Northern Alaska there are occasionally items beyond our control including inclement weather, acts of God, and unforeseen circumstances. Due to this Borealis Basecamp LLC reserves the right to cancel or modify reservations. Should Borealis Basecamp LLC cancel or modify a reservation the changes will be refunded completely at time of change.  

2 Night Minimum Policy

At Basecamp, we want every guest to be able to see the lights. Sometimes, that’s just not possible with a single night stay. We require guests to stay for at least two nights (where available) because it gives our guests a much greater chance to see the aurora, experience all that Basecamp has to offer, and to leave happy.

Third Bed Policy

Each room can be outfitted with a king bed or with two twin beds, typically meant for two people. If you would like an extra bed for a third person, we can place one in your room for a charge of $100 a night. Please let us know at time of booking if you need an extra bed and we can accommodate you!

Smoking Policy

We have a strict smoking policy at Borealis Basecamp. For the safety of our guests, we do not allow smoking anywhere indoors on our property. We do charge $500 for smoking damage when it can be proven that a guest has smoked inside of their room.

Damages Policy

Any damages to the room or furniture in the room are authorized to be charged to the card on the account held by the guest.

Quiet Hours Policy

After 11pm is Quiet Hours at Basecamp. This means our guests are encouraged to turn out all the lights in their room, and must hold quieter conversations when outdoors. The purpose of this policy to preserve the sense of tranquility and peacefulness we get here at night.

Drone Policy

After 11pm, drones are forbidden at Basecamp.

Discount Policy

We do offer a 15% discount for guests who are active military, Alaskan residents, or are coming back for their second trip to Borealis Basecamp. Make sure to mention at time of booking if you are eligible for one of these discounts! (Please note that in order to receive a military or Alaskan discount, one must present their ID at time of check in)

Bed Tax

In accordance with the Fairbanks North Star Burrough regulations, we charge an 8% bed tax on each room per night.

Late Check Out

We do not offer late check out to our guests. Unfortunately, our housekeepers are on a very tight schedule and need rooms vacated at 12pm in order to get them clean before the next check in.

Early check out policy

Guests who choose to check out early and leave their igloo will not be offered or eligible to receive a partial or full refund on their room.

Late check in policy

Our front desk is open until 1am each night. If you arrive later than 1am, please let us know in advance so we can prepare a packet of information for you at the front desk when you arrive. Please take the time to read through this information, as it will provide you with important information regarding your stay with us.

Room Placement

We do try our hardest to place our guests in the room you select during booking, or your preferred room. That being said, we often need to change our guests’ room placements based on a variety of factors, including availability and the mobility of other guests. Please understand that we have been designed for optimal aurora viewing, and every igloo on the property has a great view of the aurora.

Pet Policy

We do not allow pets at Borealis Basecamp. Service animals are, however, accepted. Please contact us for more details.

Room Amenities

Each room at Borealis Basecamp comes with a hairdryer, moisturizing hand cream, in-room free wireless internet, a hot water kettle, and complimentary hot cocoa, tea, and coffee.

*Please note that we do not guarantee an in room refrigerator in our guest rooms, if you require items to be refrigerated during your stay please let us know at the front desk and we can refrigerate them for you.
